The most important activity required at the beginning of a telecom audit is the collection all of the necessary data that is to be included within the framework of the audit.
We cannot stress enough, that the key to ensure a successful telecom audit is to be as thorough as possible when collecting the data to be reviewed and analyzed. Following the telecom audit planning checklist is important because if you omit any important data you will limit the amount of cost saving opportunities that can be discovered.
Our Telecom Audit Management consultants can help you with the telecom audit planning checklist by explaining the process to organize the bill data required to complete a telecom audit.
Prepare a manila folder for the following items and label each with its appropriate title or after collecting the data scan it to a flash drive and submit it to us. Once we receive the billing information we should have a detailed audit report ready to present to your telecom staff within thirty days.
Determine the manner in which your basic telecommunications services are billed. Start with local telephone bills and branch out from there. Long distance services may be billed on the same invoice as local phone bills or they may be included on a separate bill altogether. If they do come separately, be sure to include them in separate folders.
First determine if your wireless services are billed as a group or as individual accounts. If a separate cell phone bill is received for each wireless cell phone, be sure to collect each and every one of them. Include all wireless cell phone bills into one folder.
Paging Invoice
Use the same process for collecting paging bills as you did for cell phones. Be sure to create a separate folder for paging invoices.
Internet Invoices
Next collect all Internet service related invoices. You may have separate invoices from Internet providers for each Internet access point or you may find that your local telephone company is invoicing for Internet access on your local phone bills. If your local phone bill contains Internet access charges, just make a note of it in the internet folder and move on.
Telecom Contracts
Voice and Data Telecom Contracts
Collecting all telecom contracts for voice and data services is critical to launching a telecom audit. Some voice and data contracts may overlap, such as a contract for both local and long-distance services. Be sure to include all voice and data contracts as well as telecom equipment and maintenance service agreement contracts.
Directory Advertising Contracts
Directory advertising and Yellow Pages contracts include important data that should be included in your audit.
Telecom Services, Equipment Inventory and Circuit Identification Numbers
If you have an inventory of phone lines, telecom equipment and circuit identification numbers that is in use, please provide it to us in a separate labeled folder.
Please supply any current customer service records that you have from your local phone service providers. There will be a CSR for each local service account number and each will contain Universal Service Order Codes (USOC). The CSR provides a detailed USOC for each line item charge; we will decipher the USOC information. If you do not have each CSR from your local phone providers we will help you to obtain them.
